Why We Ordered Spare Parts Before Our New Pilates Machines Even Arrived

Most Pilates studios buy spare parts the way most people buy a spare tire: after something goes flat. We did it the other way around.

Pilates Spare Parts isn’t run by importers who have only ever seen a Reformer in a product photo. We operate our own Pilates studios, and everything we publish here starts from that vantage point: what actually wears out, what actually breaks mid-class, and what actually costs a studio money when a machine goes out of rotation.

The order

Earlier this year, we added seven new Pilates machines to our own studios. Alongside that purchase, we placed our initial spare-parts order with our equipment supplier — before a single one of those new machines had logged a class, let alone failed a part. The order covered:

  • 20 wheels
  • 10 bearings
  • 10 pairs of pulleys
  • 10 pairs of ropes
  • 10 pairs of straps
  • 32 springs
  • 10 pairs of rope clamps

The order covered several of the components in the carriage, spring and rope systems that are subject to repeated movement, tension or friction in normal studio use — components whose wear or failure can affect the normal operation of a machine. It isn’t a complete list of every part that can wear on every Reformer; it’s the set we judged worth having on the shelf for our own fleet.

Why order before anything broke

The instinct to wait for a failure before ordering a part is understandable — it feels like the cautious, capital-efficient choice. From the studio floor, it looks different.

If a fully booked class depends on seven machines, having six available creates an immediate scheduling problem: reduced available capacity, a client who needs to be moved or rebooked, or a class reshuffled on the spot. A broken spring, seized pulley or sufficiently worn wheel can take a machine out of rotation for as long as the replacement takes to arrive. If that replacement has to come from an overseas supplier, lead time can extend from days into weeks.

In one of our own documented spare-parts orders, air shipping from China to Spain was quoted at approximately 15 days. That figure reflects one documented order, not an industry average; transit times vary by supplier, shipping method, route and other circumstances. But even at the fast end of that range, that’s real time a machine can sit unavailable if you don’t already have the part on a shelf. The best spare part is often the one you identified before you needed it.

What the manufacturers themselves say

This isn’t just our own operational opinion. Scheduled inspection and component replacement are established practices among Pilates equipment manufacturers — although the exact intervals and procedures are specific to each manufacturer, model and sometimes equipment version.

Align-Pilates publishes maintenance guidance covering springs, ropes, wheels, pulleys and other components. Its documentation instructs owners to inspect springs for signs such as deformation, kinks, gaps and corrosion, inspect ropes for wear or fraying, and monitor wheels and other moving components for wear or changes in operation. Align-Pilates publishes different hour-based spring replacement figures across some of its current official documentation. Because of that, we’re not going to impose one interval here as if it were universal — owners should follow the maintenance instructions applicable to their exact model and contact Align-Pilates or their distributor where the documentation is unclear.

Merrithew recommends replacing Reformer springs every two years and publishes inspection and maintenance guidance covering springs, spring clips, rollers, ropes and other equipment components. Merrithew also states that failure to replace springs on spring-loaded equipment every two years may affect warranty coverage.

These examples demonstrate a principle, not a universal number: professional Pilates equipment contains components that require inspection, maintenance and periodic replacement. They do not establish one maintenance schedule for every Pilates machine. Always follow the instructions for your specific manufacturer, model, generation or version, and component.

Keeping a spare component does not mean every repair should be performed by the studio. Follow the equipment manufacturer’s inspection, maintenance and replacement instructions, and use qualified technical assistance where required.

What this means if you run a studio

You don’t need seven new machines to apply the same thinking. A few principles carry over regardless of studio size:

Springs, wheels, ropes, bearings and pulleys are all worth monitoring. Depending on the machine’s design, each is exposed to repeated tension, movement, load or friction — which is exactly why manufacturers like Align-Pilates and Merrithew publish their own inspection and replacement guidance for these components rather than treating them as maintenance-free. Match your spare-parts order to your machine count, not to a fixed checklist. A studio with two Reformers doesn’t need the same buffer as one with ten — but scaling roughly with your fleet size, rather than ordering reactively one part at a time, keeps you ahead of a shortage instead of behind it.

For studio-critical parts, availability and lead time can matter far more than the purchase price once a machine is already out of service. A spring or a wheel is inexpensive on its own. What’s expensive is the scheduling disruption and potential lost availability while a replacement is in transit.

Treat your first spare-parts order as part of the equipment purchase, not an afterthought. Adding a carefully selected starter set of replacement components — springs, ropes, wheels, bearings, pulleys, straps — can reduce your dependence on urgent, last-minute sourcing later, if and when one of those components needs replacing.
